Document Controller Jobs
A Document Controller in the Australian construction industry is responsible for meticulously managing and organising all project-related documentation, ensuring accurate version control, accessibility, and compliance by systematically receiving, registering, distributing, filing, and archiving documents throughout the project lifecycle, while collaborating closely with various project teams to maintain document integrity and facilitate smooth information flow.
Key responsibilities:
Document Management System (DMS) Administration:
- Set up and maintain the project DMS, including document templates, folder structures, and access controls.
- Upload, categorize, and index all project documents accurately within the system.
- Regularly monitor and update document versions to ensure the latest information is readily accessible.
Document Control Processes:
- Establish and enforce document control procedures, including document submission, review, approval, and distribution workflows.
- Track document status, including revisions, approvals, and distribution lists.
- Conduct quality checks on documents to ensure accuracy and compliance with project specifications.
Document Distribution and Access:
- Receive and register incoming project documentation from various stakeholders.
- Distribute relevant documents to project team members based on their roles and responsibilities.
- Manage document access controls to maintain confidentiality and data security.
Reporting and Analysis:
- Generate document control reports, including document status updates and compliance reports for project management.
- Identify and address any issues related to document control processes and propose improvements.
Collaboration and Support:
- Provide training and support to project team members on document control procedures and the DMS system.
- Collaborate with project managers, engineers, and other stakeholders to ensure smooth document flow and compliance.
Required Skills and Qualifications:
- Strong organizational skills and attention to detail
- Proficiency in document management systems and software
- Excellent communication and interpersonal skills to effectively interact with various project teams
- Understanding of construction industry practices, terminology, and documentation standards
- Ability to work independently and as part of a team
Relevant experience:
- Prior experience as a Document Controller in the construction industry is highly preferred.
- Familiarity with Australian construction regulations and standards is beneficial.
