Document Controller Jobs

An Oil and Gas Document Controller in Australia is responsible for managing and maintaining all project documentation throughout the lifecycle of an oil and gas project, ensuring accuracy, accessibility, and compliance with company standards by controlling document creation, revision, distribution, and archiving through a designated document management system, while collaborating closely with various project teams to facilitate smooth information flow. 


Key responsibilities:

Document Control System Management:

  • Implement and maintain a robust document control system (like SharePoint or dedicated software) to track document versions, revisions, and approvals. 
  • Assign document numbers, codes, and appropriate filing structures within the system. 
  • Monitor document flow, ensuring timely distribution to relevant project stakeholders. 

Document Quality Assurance:

  • Review and quality check documents for accuracy, completeness, and adherence to project specifications. 
  • Identify and address any inconsistencies or errors in documentation. 
  • Ensure proper document formatting and compliance with company templates. 

Document Registration and Archiving:

  • Register all project documents within the system, including incoming and outgoing correspondence. 
  • Maintain a comprehensive document register with detailed information on document status, revisions, and approvals. 
  • Properly archive and manage both electronic and hard copy documents according to established procedures. 

Collaboration and Communication:

  • Work closely with project teams (engineers, project managers, contractors) to gather, distribute, and update necessary documentation. 
  • Provide training and support to project personnel on document control procedures and system usage. 
  • Address document-related queries and resolve any issues promptly. 

Compliance and Auditing:

  • Ensure adherence to relevant industry standards and regulatory requirements related to document control. 
  • Conduct regular audits of document control processes to identify areas for improvement 


Required Skills and Qualifications:

  • Strong organizational skills with meticulous attention to detail 
  • Proficiency in document management systems (e.g., SharePoint, Aconex) 
  • Excellent communication and interpersonal skills to effectively collaborate with diverse teams 
  • Understanding of technical engineering documents within the oil and gas industry 
  • Proficient in Microsoft Office Suite (Word, Excel) 
  • Relevant experience in document control within a project environment, preferably in the oil and gas sector
